Name Change in EPFO and UAN
Check when your UAN was issued. If it came after 1 October 2017 and is Aadhaar-validated, you correct your own name on the member portal: no documents to upload, no employer approval, no separate EPFO approval. Most pages on this subject still describe the old process. For a great many members, that has not been true since January 2025.
A name change in EPFO and UAN is now, for most members, a self-service correction rather than a paperwork chase. EPFO's press release of 19 January 2025 states that a member whose UAN has already been validated through Aadhaar can update their name, date of birth and other profile fields themselves, with no document upload, no employer approval and no separate EPFO approval. The one condition that decides everything is the UAN's issue date: after 1 October 2017 and Aadhaar-validated means self-service; before it means one employer certification and nothing more. Even then, the correction only works once Aadhaar, the UAN and your bank account name all match exactly, because online claims auto-reject at the bank verification step on the smallest mismatch.
Do I need my employer to change my name in EPFO?
One date settles it, and it is worth checking before you contact anybody.

What did EPFO actually change, and when?
The source is EPFO's own press release, not a summary of one.
On 19 January 2025, EPFO issued a press release titled EPFO Simplifies Online Process for Member Profile Updation. It states that members whose UAN has already been validated through Aadhaar can update their profile themselves, without the requirement of uploading any document. That covers name, date of birth, gender, nationality, father's or mother's name, marital status, spouse name, date of joining and date of leaving.
Only where the UAN was obtained before 1 October 2017 does the update require certification of the employer, and even then it is the employer alone, with no separate EPFO approval layered on top.

EPFO's own release explains why the change was made. The new process eliminates an average delay of nearly 28 days that employers took to approve a Joint Declaration, and it immediately benefited around 3.9 lakh members whose requests were pending at various stages. The Union Labour and Employment Minister has stated that around 27 per cent of all member grievances relate to member profile or KYC issues, which is a Government admission of how badly the old system worked. If a page still tells you to wait for HR, it is very likely describing the process this release replaced.
Why must Aadhaar be correct before EPFO?
Because EPFO does not accept your word for it. It checks.
EPFO verifies whatever you type against the UIDAI database. If Aadhaar itself carries the wrong name, correcting EPFO is not possible, because the portal simply refuses the value you enter. Get Aadhaar right first and the EPFO step becomes routine.
Enter it exactly as Aadhaar has it, not the version you would prefer to use. The system is comparing strings, and a difference of even one character reads as a mismatch.
The three-way match nobody warns you about
This is the single most useful thing on this page.

It is not enough for Aadhaar and your UAN to agree. Your bank account name has to agree as well. The name on the account must match your UAN and Aadhaar name exactly, or online claims auto-reject at the bank verification step.
Note the word auto-reject. That is not an officer forming a view you can explain away. It is a system comparing strings and failing. Nobody reads a covering letter at that step.
So do all three in order: Aadhaar first, then the UAN profile, then the bank account with your bank. If you have read our bank records guide, you will remember that under an RBI rule your old identity document remains valid there when produced with a marriage certificate or gazette notification, so the bank need not be the bottleneck it looks like.
How do I correct my name in EPFO online?
Seven steps, most of them just confirming what is already true.
- Confirm your Aadhaar carries the correct name, and note the exact spelling and spacing.
- Log in to the Unified Member Portal with your UAN and password.
- Go to Manage, then Modify Basic Details.
- Enter the details exactly as they appear on Aadhaar. The system verifies against the Aadhaar database as you go.
- Submit. If your UAN qualifies for self-approval, it reflects almost immediately and no document upload is required.
- If your UAN routes to the employer instead, the request goes to them for certification. You can withdraw it using Delete Request before they forward it.
- Check your KYC afterwards. Aadhaar should now show as verified.
When do I still need a physical Joint Declaration?
Four situations fall outside both self-service and employer certification.
Your employer has closed down
Nobody remains who can approve the online request.
A nominee or widow is filing
To make a claim on a deceased member's account.
A pre-2017 account, unlinked
Not linked to a UAN or to Aadhaar at all.
The employer has rejected it
Often because an upload was unreadable, or the company's own records do not match your claim.
These cases go through the Joint Declaration standard operating procedure of 16 January 2025, in which the employer and EPFO jointly approve: an initiator examines the declaration and supporting documents, and a verifier cross-checks before a decision. It is slower and wants stronger proof, but it is not closed to you.
What documents does an EPFO name correction need?
For a self-approved correction, none at all.

What order should I actually do this in?
Get this wrong and you correct EPFO before the record it checks against.
1. Aadhaar
EPFO verifies every entry against the UIDAI database. A wrong Aadhaar name makes the EPFO step impossible until it is fixed. See our Aadhaar card guide.

Once Aadhaar is right, the Unified Member Portal correction is either instant self-service or one employer certification, depending on the UAN's issue date.
3. Bank account

What goes wrong most often?
- Chasing HR when a post-2017 Aadhaar-validated UAN already allows self-approval.
- Trying to correct EPFO before Aadhaar, when EPFO verifies against the Aadhaar database.
- Entering the name a member prefers rather than the name exactly as Aadhaar has it.
- Fixing Aadhaar and the UAN but leaving the bank account name different, so claims auto-reject.
- Using an abbreviation such as Kr for Kumar and assuming it will read as the same name.
- Raising a request and never telling the employer it is sitting in their portal.
- Assuming a closed company makes correction impossible, when the EPFO Regional Office can upload it instead.
- Waiting until a withdrawal is needed before discovering the mismatch.
What does an EPFO name correction cost, and how long does it take?
Cost: nothing. EPFO does not charge for a profile correction, whichever route applies to your UAN.

- UAN
- Universal Account Number, a permanent number that ties a member's provident fund service together across every employer they ever work for. The number never changes; only the details recorded against it do.
- EPFO
- The Employees' Provident Fund Organisation, the central Government body that administers provident fund, pension and insurance accounts for organised-sector employees in India.
- Unified Member Portal
- The online portal a member logs into with their UAN and password to view and update their EPFO profile, submit claims and track requests.
- Member Profile Updation
- EPFO's term for correcting personal details on a member's account, including name, date of birth, gender and family details, done under the Manage, Modify Basic Details menu.
- Joint Declaration

Do I need my employer's approval to change my name in EPFO?

Is there a faster way to fix a KYC mismatch?
Try activating your UAN through UMANG with face authentication, which auto-fetches your Aadhaar name, photograph and address into EPFO. For many members that resolves KYC without any correction request.
My employer rejected the request. Why?
Commonly because an uploaded document was unreadable, or because the company's own records do not match what was claimed. Ask HR for the reason before resubmitting.
Where do I complain if nothing happens?
The EPFO grievance portal, EPFiGMS. Profile and KYC issues make up a large share of all member grievances, so the system is used to them.
